Service Industry Scheduler/ Office Assistant

Are you an articulate, highly skilled Customer Service Representative looking to expand their career in the growing service industry? Then you may be the candidate who our team is looking for. This position is based in a growing and fast paced environment. This a full-time temp to hire position for the right candidate.

Responsibilities:

  • Able to answer phone calls, schedule estimates, and dispatch 2-3 technicians’ teams.
  • Comfortable dealing with people = the good and the bad about service-related issues, follow ups, and post service visit.
  • Must be punctual, have a positive attitude, excellent in customer service, and be able to take ownership of this position.
  • Interact with customers and project staff to schedule work and coordinate assignments
  • Self-starter who works well independently
  • Daily Scheduling in CRM system for field technicians and estimates
  • Provide accurate, friendly customer service in a timely fashion
  • Ideal candidate will support business development and client referral goals by learning what we offer and referring customers.
  • Active problem solver who listens for customers cues and actively resolves problems with grace and integrity
  • Ability to effectively communicate verbally and in written business correspondences
  • Following up calls with customer’s who has received estimates
  • Maintain customer database, ensuring complete, accurate, and updated entry of information
  • Respond to customer inquiries regarding company schedule, requested lead times, equipment services, invoicing, and general inquiries.
  • Respond to service technician requests both messaging and phone
  • Follow up and schedule preventative maintenance service appointments
  • Effectively manage conflict resolution with clients through clear communication, addressing all concerns, questions, or problems expediently
  • Conduct research; prepare presentations and papers for meetings.
  • Light cleaning of your area.
  • Order office supplies and equipment
  • Experience in implementing new office processes and what a small business needs in office is a plus

Requirements:

  • Previous scheduling experience
  • Punctual - tardiness will not be tolerated
  • Dependable transportation
  • High school diploma or GED
  • Able to pass background check and drug screen
  • Strong work ethic independently and with team
  • Advanced customer service skills
  • Ability to multi-task and keep organized
  • Geographical knowledge of service area or map reading skills
  • Knowledge of industry is recommended but not required
  • Computer skills (Microsoft, QuickBooks, CRM Software)
  • Upbeat, positive attitude and an approach to work rooted in professionalism
  • Proficient with computers and technology platforms such as Microsoft Office, CRM software, and QuickBooks
  • Exceptional attendance record
Experience:
  • Service industry of scheduling multiple field service technicians. Experience with either a chimney, a masonry, plumbing business, Electrical contractor, HVAC service, landscaping company Swimming pool service, etc. (At least 1 year preferred)
  • Two years related experience and/or training in customer service, invoicing, dispatching or project handling or equivalent combination of education and experience
  • 2 years of previous office experience in a customer focused environment desired
